Job Summary

The Executive Director, University Business Services and HUB Coordinator direct all functions and personnel relating to Procurement, Contracts, University credit cards, Accounts Payable/Travel, and the HUB Program, ensuring compliance with state requirements, goals, and UHD's policies and procedures. Collaborates with Auxiliary Services, Accounting, and Student Business Services to complete projects and review financial information.

Duties

  • Oversees all processing of all University purchase requisitions, purchase orders, and Procurement card programs. Designs, administers, manages, and provides training for the Contract Administration function.
  • Monitors, corrects, and improves payable and travel card transactions using the appropriate software. Collaborates with Accounts Payable, Travel/Travel card, and other departments as necessary to develop training materials for systems and mobile travel app utilized by the UHD community
  • Oversees any changes required regarding software or programs utilized in the bid process, p-card vendor site implementation/updates, p-card finance downloads, travel card system/mobile app implementation/updates, travel card/expenditure finance feeds, and updates to the Finance system. Liaison with auditors and compliance-related personnel within UHD and the university community regarding risk mitigation of university credit card programs
  • Directs all aspects of the HUB program, ensuring it meets state goals and mandates, and produces HUB reports as required
  • Collaborates with Auxiliary Services to complete projects, review financial information from auxiliary providers, attend meetings, and provide support as required. Collaborates with Auxiliary Services to support Shipping and Receiving mailroom functions
  • Collaborates with Accounting/Student Business Services to complete projects, review financial information (financial statements, ratios, fluctuations, analysis), attend meetings, and provide support as required

Qualifications

Required Education:

  • Bachelor's degree in Business or related field

Required Experience:

  • Minimum of seven (7) years of related job experience

License/Certification:

  • Certified Texas Contract Developer (CTCD) certification required

Preferred Qualifications

  • Master's degree in Accounting, Finance, Business or a related field
  • Current Certified Public Accountant (CPA)
  • Experience in Higher Education
  • Experience with PeopleSoft Financials
  • Experience with State of Texas Accounting Systems (USAS)

  • Approves disbursement of funds consistent with the organizational unit's budget.
  • Monitors status of organizational unit's budget, and directs the resolution of deficiencies and/or discrepancies.

  • Positively represents organizational unit to internal and external constituents in support of the organizational unit's efforts and in recognition of its accomplishments.
