Dear Faculty,
The process of roster certification helps us identify students who have not been active in any of their currently enrolled courses. We want to protect students from accruing unnecessary debt and support accurate records of class engagement. Roster certification at present applies to all sessions during the Spring 2025 Term (Regular Session, First Half Session, and Second Half Session).
We ask you to monitor attendance and then confirm rosters according to the dates below. All instructors are required to participate in this effort.
The Registrar’s Office will drop students who are reported as “non-attending” in all their courses. Students who attend at least one of their courses will not necessarily be dropped from any non-attending courses, but our advising teams will use your information to follow up with your missing students to better support their success.
Definition of “attendance”:
The goal of this process is to identify students who do not intend to be registered in your classes. Faculty are the authority for determining what constitutes attendance for these purposes. We offer the following suggestions on what might be used to identify “attendance” with the focus on students who never show up or signal no intent to be enrolled rather than on regularity of attendance or likelihood of success.
Your definition should be clear on your syllabus in some way.
- Physical attendance at least once in a face-to-face, hybrid, or HyFlex course.
- Virtual attendance at least once in a synchronous online or HyFlex course.
- Canvas login data--but please ensure that the login activity occurred on or after the first day of class
- Participation in one early Canvas activity for an asynchronous online course.
- Documented contact from a student indicating that they intend to participate in the course even if they have not shown up.
In the table below, you will see dates for the First Half Session and the Regular Session highlighted in yellow. The unhighlighted section is for the Second Half Session (8WK2). Note that the dates are dependent upon the term you are teaching. Please read carefully:

Partial attendance students may be dropped from classes based on advising feedback loop. All approved appeals for reinstatement will be processed by the end of day completing the roster certification process. |
Students will receive multiple communications in the first two weeks about attendance and roster verification. These messages will include information about students being dropped for non-attendance, loss of LMS access, financial aid consequences, and the appeals process.
